The Cove Meeting Room Terms & Conditions
By booking a meeting room at The Cove, you acknowledge and agree to the following terms and conditions:
1. Booking & Payment
All reservations must be made in advance through our online booking system.
Payment is required at the time of booking unless otherwise agreed upon in writing.
Reservations are non-refundable, but may be rescheduled with at least 24 hours’ notice (subject to availability).
2. Meeting Room Availability
Meeting rooms are available for reservations during standard business hours, 8:00 AM – 6:00 PM, Monday – Friday.
Reservations outside of normal business hours require prior approval and may be subject to an additional fee.
3. Usage Guidelines
The meeting room is available only for professional, business, or educational use. Personal gatherings or events must be approved in advance.
The room must be used only during the reserved time. Arriving early or staying late may result in additional fees.
The person booking the room is responsible for ensuring that all attendees follow these terms.
4. Cancellations & No-Shows
Cancellations or rescheduling requests must be made at least 24 hours in advance to receive a credit for a future booking.
No-shows or cancellations made less than 24 hours before the reservation will not be refunded or credited.
5. Conduct & Responsibilities
The meeting room must be left clean and in the same condition as found. A minimum cleaning fee of $25 will be charged if the room requires additional cleaning.
No loud or disruptive behavior is permitted. The Cove is a shared workspace, and all guests must respect other members and tenants.
Damages to the room, furniture, or equipment caused by the guest or their attendees will be the responsibility of the person who booked the room.
6. Liability & Security
The Cove is not responsible for any lost, stolen, or damaged personal property.
The individual or company booking the room assumes all liability for their guests and activities during the reservation period.
Security cameras may be in use in common areas for safety purposes.
7. Member-Specific Terms
Active members with meeting room credits must use them within the designated billing cycle; unused credits do not roll over.
Member reservations are subject to the same cancellation, conduct, and liability policies as public bookings.
By proceeding with your booking, you acknowledge that you have read, understood, and agreed to these terms and conditions. Failure to comply may result in additional fees or loss of booking privileges.
